HR & Operations Coordinator

 

We are seeking a highly organised and proactive HR & Operations Coordinator to join our team full-time, on-site.

This is a dynamic and hands-on role suited to someone who thrives in a fast-paced environment and enjoys balancing people, processes, and operational support. You will play a key role in supporting our leadership team, staff, and customers while ensuring smooth day-to-day operations.

Key Responsibilities

Administration & Operations

  • General administrative duties

  • Managing incoming phone calls and emails

  • Greeting and assisting customers and staff

  • Calendar management and meeting coordination

  • Preparing agendas, meeting notes, and tracking follow-up actions

  • Organising company events, deadlines, and run sheets

  • Managing company vehicle maintenance schedules and registration renewals

Human Resources

  • Coordinating travel arrangements

  • Maintaining HR policies and procedures

  • Preparing employment packs and onboarding & offboarding documentation

  • Organising employment review meetings and following up on action items

  • Managing company licence registers

  • Data entry and maintaining accurate employee records

  • Tracking leave that employees apply for

  • Processing payroll, superannuation, and reconciliation of staff accounts

  • Job advertising and recruitment coordination

  • Liaising with apprenticeship support services and GTOs

WHS & Compliance

  • Acting as WHS Coordinator

  • Leading WHS meetings and preparing agendas

  • Monitoring and following up on outstanding WHS actions

  • Managing workers compensation claims

  • Preparing incident reports and return-to-work plans

About You

  • Previous experience in HR, administration, or operations (automotive or dealership experience highly regarded)

  • Strong organisational and time management skills

  • High attention to detail and ability to multitask

  • Confident communicator with excellent written and verbal skills

  • Sound knowledge of payroll processes and HR compliance

  • Ability to maintain confidentiality and handle sensitive information

  • Proactive, solutions-focused, and capable of working independently
